Sharing files without leaking data

Link permissions, expiry dates, and what never to put in a public folder.

The supplier report is finished. Priya asks Meera to share it with the management team — and this is the exact moment most data leaks happen. Not hackers breaking in: ordinary people clicking Share with the wrong settings.

Module 1 flagged the difference between a link that lets people view and one that lets them edit. This lesson is the full picture: who gets in, what they can do once inside, for how long, and what should never be shared broadly at all.

The two questions every share dialog asks

However Google Drive, OneDrive or Dropbox dresses it up, sharing is two decisions.

1. Who can open it?

  • Specific people — you type their email addresses, and the file checks who they are when they open it. A forwarded link fails for anyone else.
  • Anyone in the company with the link — no outsiders, but any colleague who obtains the link is in.
  • Anyone with the link — the widest setting, and the one to treat with respect.
