Rahul prints his beautiful dashboard for the Monday meeting. Out of the printer come six pages: the charts split across two of them, one lonely column exiled to page four, and two pages that are entirely blank.
Everyone has lived this. The screen is endless in every direction; paper is a fixed rectangle. Printing well is simply telling Excel which rectangle.
Always preview first
Ctrl+P shows exactly what will print, page by page, before any paper moves. Make this a reflex: preview, fix, preview again, and only then print or export.
Tell Excel what to print: the print area
Excel defaults to printing every cell you have ever touched — including that forgotten test calculation in column Z, which is where mystery blank pages come from. Fence off what matters:
- 1Select just the range you want on paper — the dashboard block, say.
- 2Page Layout → Print Area → Set Print Area.
